What are Standard Operating Procedures?

A standard operating procedure is a set of instructions that describes how a routine activity should be performed. Strong SOPs do more than list steps. They clarify roles, supporting resources, review expectations, and the context people need to carry out the work consistently and safely.

How to Create Effective Standard Operating Procedures?

  • Define the goal of the task and why the procedure needs to exist in a documented, repeatable form.
  • Build the SOP with the people who actually perform and own the work so the document reflects the real process, not an idealized version.
  • Choose the clearest format for the procedure, whether that is a flowchart, numbered steps, swimlane view, or a hybrid visual SOP.
  • Identify dependencies, inputs, approvals, and systems that affect how the task is completed across the organization.
  • Fill in the steps with the supporting detail people need to execute the work correctly, including references, files, and exception handling where relevant.
  • Test the SOP with the people who will use it, observe where confusion appears, and revise the procedure until it is clear and practical to follow.
